Goldfinch Advisors collects personal information about our clients, people associated with our clients and our business contacts, so we can provide professional services and manage our business relationships.

The types of personal information we collect depends on the services we are providing and can include:

  • Names, job titles, contact and address details
  • Information in identification documents (for example, passport, driver’s license)
  • Tax file numbers and other government-issued identification numbers
  • Date of birth and gender
  • Bank account details, shareholdings and details of investments
  • Details of superannuation and insurance arrangements
  • Educational qualifications, employment history and salary
  • Visa or work permit status
  • Personal information about your spouse and dependants.

How we collect personal information

We collect your personal information directly from you (for example, when we deal with you in person or over the phone, when you send us correspondence (including via email.)

We may also collect personal information about you from your use of our websites.

Sometimes we need to collect your personal information from a third party. For example, from your employer where they are our client, from your personal representative, or a publicly available record, such as banks, the ATO or ASIC.

You should only provide us with someone else’s personal information if you have their authority or consent to provide us with their personal information. You should also take reasonable steps to tell them about this Privacy Policy or any Privacy Collection Statement we give you.

If you or other third parties provide us with personal data in any form, we have accepted this information on condition that the provider has the right to transfer this personal data to us and that you have granted us permission to collect, store and use such information with no limitations.

Security of personal information

Goldfinch Advisors holds personal information in hard copy and electronic formats. We take security measures to protect the personal information we hold including physical (for example, security passes to enter our offices) and technology (for example, restriction of access, firewalls, the use of encryption for passwords/ emails, secure computers and digital certificates) security measures.

We value the trust you place in us regarding your data and take steps to make sure our systems and equipment are secure. It’s vital for us that we have enterprise-grade security. We have partnered with Practice Protect, a best practice data security platform for accounting firms.

As responsible data custodians we are:

  • familiar with the requirements of the Notifiable Data Breaches scheme and will notify the Office of the Australian Information Commissioner and you if there is unauthorised access to, unauthorised disclosure of, or loss of, personal information held by us and the access, disclosure or loss is likely to result in serious harm to any of the individuals to whom the information relates in accordance with the Privacy Act.
  • As responsible data custodians, any breach of this Privacy Policy by our employees, contractors, consultants, partners and any other entity that at our direction have access to your personal information will invoke disciplinary and possible legal action against the offending party.

Why we collect personal information

Goldfinch Advisors collects, holds and uses personal information:

  • To provide professional services & respond to requests or queries – such as tax returns and financial accounts, or other financial or business advice.
  • To notify of seminars and other updates
  • When engaging service providers, contractors or suppliers relating to the operation of our business
  • To meet any regulatory obligations, or
  • For any other business-related purposes.

Disclosure of personal information

The types of third parties to whom we may disclose your personal information include:

  • Experts or other third parties contracted as part of an engagement
  • Our service providers – Accounting or business software providers, IT support & security services, website hosting services
  • Our professional advisers
  • Government or regulatory bodies or agencies, as part of an engagement or otherwise, (for example, the Australian Taxation Office, ASIC or our professional accounting body on request to meet our mandatory professional standards or other legal obligations).

We do not disclose personal information to third parties to allow them to send marketing material to you unless it is with your express and fully informed consent.

Use of personal information overseas

We may also store, process or back-up your personal information on servers that are located overseas (including through third party service providers). By giving your personal data to us, you acknowledge and agree with your data being processed on Goldfinch Advisors’ behalf by its suppliers, even in countries where the level of data protection may not be equal with the standard suggested by the Australian Privacy Principles.

Direct marketing

Goldfinch Advisors may also use your personal information for the purpose of marketing its services.

  • If you do not want to receive marketing material from us, you can contact our office.
  • For electronic communications, you can click on the unsubscribe function in the communication. For hard copy communications, you can email or call our office on the correspondence you received.
